Proclinical is seeking a remote Grant Operations Manager for a continuing medical education program.
Must be eligible to work in the US.
Job Responsibilities:
- Work closely with the Educational Development Director(s) and Medical Director(s) on grant proposals to ensure the timely and accurate submissions to supporters for their consideration
- Oversee the submission schedule every week and map out a plan with grant operations team members to ensure all grants are submitted according to their deadline
- Manage overall grant submissions queue with ever changing priorities driven by urgent needs, RFPs, and association application deadlines
- Review submissions information, supporter budget details, and application and portal questions that arise on all grants
- Prepare and submit grants as needed to help the team including the coordination of the final submission information of the grant letter, grant budget, and proposal specifications required by each individual supporter
- Manage priorities for the grant operations team and adhere to tight deadlines by working with Grant Operations Director, Educational Development Directors and Medical Directors as well as partner organizations, as appropriate
- Review RFPs and coordinate plan to respond with appropriate team members, noting important components and deliverables included in the RFP
- Track requests for information and circulate requests to the appropriate team members to prepare a response, according to the supporter deadline. Facilitate response to the potential supporter and detail response in QuickBase to use for future reference
- Ensure the team maintains accurate records throughout the grant proposal process and document status within online management tool (QuickBase) and other tracking tools such as Google Sheets
- Track grants carefully on a daily basis to ensure they are meeting expected deadlines, updating trackers when appropriate for team members to have real-time information
- Mentor other team members and facilitate training for new employees
Skills and Requirements:
- 1-2 years of experience in grant submissions to pharmaceutical companies or government agencies
- Experience managing priorities and deadlines for junior team members
- Strong time management skills, and ability to multitask, prioritize and organize responsibilities in order to meet goals and timelines
- Strong verbal and written communication skills
- Excellent attention to detail
- Ability to work as a team player and independently
- Comprehensive understanding and use of Microsoft Office, Google Drive, Google Docs, and QuickBase (or similar online program management tool)
